How to Solve Error Messages while Synchronizing Exchange Server Mailbox to an OST file?
When you synchronize exchange server with OST (Offline Storage File) file in MS Outlook versions 2000 and 2002, problem may arise due to increased size of OST file. The OST file gets corrupt or damaged as it approaches to the maximum limit of 2 GB, creating this issue with synchronization. Synchronization between exchange server and OST file can be possible if the OST file is converted into an Outlook usable PST file. In such cases you need to convert OST to PST.
Let's take an example when you try to synchronize the exchange server with oversize OST file which exceeds more than 2 GB you may get the following error message on your system screen. The message reads like this:
“Task ‘Microsoft Exchange Server’ reported error (0x00040820): Errors in background synchronization. In most cases, further information is available in a synchronization log in the Deleted items folder”
This message points you to check the synchronization log, but the problem is that the log doesn't exist in deleted Items folder in OST file or exchange server.
Causes:
The root cause for the above error is use of damaged OST files due to increased size. In MS-Outlook 2000 and 2002 versions, this type of error commonly prompts on your screen. The reason is that prior versions of MS-Outlook does not support data storage more than 2 GB.
Resolution:
You can resolve this issue by one of the following solutions:
Delete all the items that you do not need from exchange server. Use Shift+Delete keys to permanently delete them.
On Exchange server, move your data from synchronized folder to a non-synchronized folder.
Move your entire significant data to PST file and then permanently delete data from synchronized folder.
If you cannot convert OST to PST due to corruption of OST file, use third-party software to convert OST to PST file.
